STR Tax Documentation That Holds Up

The three things an examiner would test

1. The average period of customer use. This is arithmetic, and it either holds or it does not. Total rented days divided by number of bookings across the tax year. 3. The depreciation position. The cost segregation study, the engineering methodology behind it, the placed-in-service date, and the allocation between land and improvements. A study performed by a qualified firm with a defensible methodology is a substantially different document from a spreadsheet estimate.

What makes a participation log credible

  • Contemporaneous. Entered as the work happened. A log created annually in one sitting reads exactly as what it is.
  • Specific. Not "guest management 3 hours" but "responded to five inquiries, rebooked the March 14 cancellation, adjusted spring break pricing, 2.75 hours."
  • Corroborated. Platform message timestamps, calendar entries, vendor texts, purchase receipts, travel records, and photographs.
  • Uneven. Real work produces irregular hours. Turnover weeks are heavy and quiet weeks are light. A log showing three hours every single week is not what actual operations look like.
  • Not suspiciously convenient. A total landing at exactly 101 hours invites the question it is trying to avoid.

The competing participation question

Under the 100 hour test, no other individual may participate more than you do. That means the hours worked by a co-host, cleaner, or manager are part of the analysis, and having a rough sense of their hours is part of the file. This is why the management structure decision belongs before closing.

The annual file

  1. Platform reservation export for the full year, showing every booking with dates.

  4. An estimate of hours worked by any co-host, manager, or vendor.
  5. Financial statements from a dedicated property account, with the platform payout report reconciled.
  6. Invoices for repairs and improvements, with descriptions.
  7. An itemized furnishing schedule.
  8. The cost segregation study, in the year performed and permanently thereafter.
  9. Evidence of the placed-in-service date, such as the listing publication and the first booking.

That file takes a few hours a year to maintain if it is built as you go, and it is close to impossible to reconstruct afterward. Keep it with your return rather than in a folder you will not find in three years.
